Welcome to Camp DeForest!
We at Camp DeForest, LLC (“Camp DeForest,” “us,” “our,” “we”) endeavor to provide all our guests and visitors with an enjoyable, safe, comfortable, clean, and friendly experience. To make your stay with us as pleasant as possible, we have established certain policies and rules, many of which are set forth in this Reservations and Cancellations and Other Policies and Rules (this “Policy”).
This Policy is part of our reservation agreement with you. When you use some of our services or products, including when you visit, use, or stay at our Camp DeForest hotel, cabins, cottages, property, or facilities at 12 Whitney Road, Lincolnville, Maine 04849 (collectively, the “Property”), you are entering into certain agreements with us governing your stay at our Property and your access and uses of any of our products and services. Upon using our reservation system or any other services on our website at www.campdeforest.com or applications (the “Website”) and/or checking in, you agree to all the agreements with us, including this Policy, as well as the Terms of Use, the Acceptable Use Policy, and our Privacy Policy, and any other agreements that are accessible on our Website or that we communicate with you in connection with any of our services or products, and all such other agreements are incorporated herein. IF YOU DO NOT AGREE TO ABIDE BY THIS POLICY OR WITH OUR OTHER AGREEMENTS, DO NOT STAY AT THE PROPERTY OR USE ANY OF OUR SERVICES. Please also see our Camper Guidebook that we will provide to you at the Property for more information about your stay with us and about things to do in Midcoast Maine.
By booking a stay through our Website or any authorized platform, and/or by staying at Camp DeForest, you acknowledge that you have read, understood, and agreed to be bound by this Policy. Your completed reservation shall constitute your signature and agreement.

Guest Communications.
By providing your contact information when booking or during your stay, you consent to receive transactional communications related to your reservation and stay. You may also receive occasional updates, offers, or news from Camp DeForest. You may opt out of marketing communications at any time. We do not sell or share your personal information with third parties, except as necessary to process your reservation or comply with legal obligations. More information about how we protect guest privacy can be found in our Privacy Policy.
Office Hours.
The Front Desk opens at 7:00 a.m. and closes at 7:00 p.m. From time to time, we may make an after-hours emergency number available, as well. Please see the Camper Guidebook for that number or call the Front Desk to request.
Reservations; Cancellation; Deposit.
Reservations
You can book a stay at the Property via our Website, via some third party partners, or by calling us at (207) 789-5777. If you use our Website, please see our Terms of Use that governs use of our services, including our Website.

Deposit Upon Booking
Upon booking, you will be asked to present a credit card or other authorized payment method to pay a deposit equal to 50% of the overall charge for your stay to secure the applicable reservation. The remaining balance is due on the day of check-in and will be charged to the card on file unless other payment arrangements have been made.
Security Deposit
Upon check in, you will be required to present a credit card or other permitted form of payment. A hold of one night’s fee will be placed on your card to cover incidentals and as a security deposit in case of damage, loss, theft, or fine.
Acceptable Forms of Payment
Any payments to us may be made via a credit card or third party payment service such as Visa, Mastercard, American Express, Discover, Apple Pay, or Google Pay, etc.
Credit Card Authorization
By providing your credit or debit card information, you authorize Camp DeForest to charge the card for all amounts due under this Policy, including room charges, damages, fines, store purchases, and fees arising after your departure. A detailed receipt will be provided upon request.
Cancellations; Changes to Reservation
You may cancel your reservation at any time up to fourteen (14) days prior to the date your stay was to commence. You will be refunded your deposit, minus a $25 cancellation fee. The cancellation fee also applies to changes in your arrival/departure date which result in a shorter stay. No refunds are provided for late arrivals or early departures.
If your cancellation request is made less than fourteen (14) days prior to the date your stay was to commence, 100% of your deposit will be forfeited and will be non-refundable. If you cancel your reservation fourteen (14) days or less prior to arrival date, you are responsible for the entire cost of your reservation. Your credit card on file will be charged in full.
Any request to change the date of your reservations must be made at least five (5) days prior to the date your stay was to commence and is subject to availability and any minimum stay limitations or restrictions. If a change is requested less than five (5) days prior to that date, no changes may be made to the reservation to shorten the stay, and you will be charged in full pursuant to the original reservation.
Check In; Check Out.
Check In
Guests may check in beginning at 4:00 p.m and check-in extends to 7 p.m. If you need an earlier check-in time, please call the Front Desk at (207) 789-5777, and we will do our best to accommodate you, subject to availability.
If you have a late arrival or require any special accommodations, please contact the Front Desk.
Requirements for Check In, Including Security Deposit
Guests must be at least 18 years old to check in. Guests under 18 years of age must be accompanied by an adult over 18 years of age to stay with us.
For security purposes, we require you to confirm your identity at check-in by providing a valid government-issued photo identification. We may require other valid contact information from the guest who made the reservation, including first and last name, address, phone number, e-mail, and signature. We may require you to provide the names of all guests occupying the room or cabin.
Upon check in, you will be required to present a credit card or other permitted form of payment. A hold of one night’s fee will be placed on your card to cover incidentals and as a security deposit in case of damage, loss, theft, or fine. For any incidentals, your card on-file will be charged as you purchase the applicable incidental. The remainder of the deposit will be refunded, provided there is no damage to the rooms or cabins you occupied during your stay or other losses, missing items or fine, including those related to damage of rental equipment.
Check Out
Check-out time is anytime before 11:00 a.m. Please return to the Front Desk to return your key and pay your final balance. If you leave before the Front Desk opens, deposit your room key in the Keys Checkout box. Your account balance will be charged against your card on file.
Late Check Out
If you would like to request a later check-out time, we would ask that you contact us as far in advance as possible and at least by 8:00 p.m. on the night before check out. We will do our best to accommodate your request, but realize that late check-outs are subject to availability and may be subject to a charge. If we are unable to accommodate your request, upon request and with our compliments, we can store your luggage for you at the Lodge.
Luggage Storage
You may choose to store your luggage with the Front Desk before check-in or after checkout. Camp DeForest will not be responsible for loss of or damage to your luggage, the contents therein or your personal belongings (including any valuables, even if we have been advised) during storage or during the disposal process however caused and you hereby release Camp DeForest from any liability in respect thereof.
Special Requests
We will make every effort to honour special requests such as a specific room number, adjacent rooms, roll-away beds, etc. but we can’t guarantee your special request can be fulfilled.
Room Assignment
While we do our best to honor specific room or cabin requests, Camp DeForest reserves the right to reassign guests to comparable accommodations due to maintenance, operational needs, or unforeseen circumstances. We will make every effort to ensure the reassigned room meets or exceeds the value of your original reservation.
Package & Mail Handling
We understand that modern travelers may wish to ship items ahead of their arrival. If you plan to send packages to Camp DeForest, please notify the Front Desk in advance via email at hello@campdeforest.com. Please provide tracking information.
We are happy to accept small parcels on your behalf beginning 48 hours prior to your scheduled check-in date. Packages must be clearly labeled with the guest’s full name and check-in date. Due to limited storage space and security considerations, we do not accept oversized items, freight shipments, or perishable goods.
Unclaimed packages will be held for a maximum of seven (7) days after your departure and will then be returned to sender or discarded. Camp DeForest is not responsible for lost, damaged, misdelivered, or stolen parcels, and we do not offer refrigeration, forwarding, or repackaging services.
Housekeeping.
We provide housekeeping services after a third night’s stay or upon request. We hope our guests will assist us in decreasing our environmental impact and water usage by reusing towels as much as possible, but additional towels are available if you need them. If you would like a replacement towel, place the old towel on the floor of your bathroom. If you need any additional towels or any other amenities or if you require housekeeping services, please contact the Front Desk for assistance.
In-Room Technologies.
While staying with us, you should feel free to use our guest WiFi network. Camp DeForest provides complimentary guest WiFi as a convenience. We make no guarantees regarding bandwidth, speed, or uptime and assume no liability for service interruptions or data loss. Please check the Camper Guidebook or call the Front Desk for WiFi network access information. Our WiFi passwords are subject to change at any time without notice. Also, WiFi signals are subject to change without notice, depending upon, among other things, your location, the status of WiFi equipment, and interference from other local wireless signals.
We also have televisions with access to bring-your-own-streaming-service functionality powered by RoomNet. Please see the Camper Guidebook for more information about our in-room technologies and other services.
Please also refer to our Acceptable Use Policy for policies, rules, and restrictions regarding your use of our in-room technologies (including WiFi) and other services.
We assume no liability for any guest or visitor uses of our WiFi network or other in-room technologies or services.
Children.
You are personally and legally responsible for your minor children. You agree to supervise them at all times. For safety reasons, please do not leave children unattended in guest rooms, cabins, or anywhere else on the Property or allow them to roam the Property unsupervised.
Accessibility.
Camp DeForest is committed to providing accommodations that are accessible to guests with disabilities, subject to the limitations of our historic and natural setting. If you require specific accessibility accommodations, please contact us in advance of your stay and we will make every reasonable effort to assist.
Pet Policies.
Unfortunately, we do not allow pets, but we comply with the Americans with Disabilities Act (ADA) and state/local laws regarding service animals. Guests traveling with a service animal will not be charged a pet cleaning fee; however, charges may be incurred should a service animal soil or otherwise damage in any way any part of the Property. If you have a service animal, please notify us in advance. If we determine that you brought a pet into your room that is not a service animal, a $1000 cleaning surcharge per incident will be imposed.
Please note that some state and local laws may have a broader or narrower definition of what a service animal means or the rules that apply to them, as compared to other states. In that regard, please note that Maine does not recognize “emotional support animals” (ESAs) in the same way that it recognizes service animals. As such, ESAs do not have the same public access rights in Maine.
Non-smoking Policy.
Our Property is smoke-free and vape-free. A $500 cleaning surcharge per incident will be imposed in any room or cabin if we determine that you have smoked or vaped. Guests are encouraged to notify the reception team immediately if they smell cigarette, marijuana, or other objectionable odours.
Alcohol Policy.
Whether or not we sell alcohol anywhere on the Property, all guests who consume alcohol on the Property must be 21 years of age or older. Please drink responsibly and be considerate to other guests and other people around you when drinking. Those who choose to bring their own alcoholic beverages must consume them in their room. Any alcohol consumed in public areas such as the reception area, the firepits, etc. must be purchased from Camp DeForest.
Weapons Policy.
Weapons of any kind may not be brought on Camp DeForest Property, including carrying on your person (unless law enforcement in uniform). If a weapon is located, security will be notified immediately. If the weapon is in the possession of a guest, the weapon must be surrendered to security and placed in safe-keeping until the guest departs the Property. If the guest declines to surrender the weapon, the guest must exit the Property immediately. If security is in possession of the weapon, the guest must provide proper documentation to retrieve the weapon. Once documentation is verified, the weapon may be returned to the guest. No paintball guns or paintballs allowed on property.
Noise Policy.
We are dedicated to providing all of our guests with a pleasant and enjoyable stay. To ensure this, all guests must work to promote a peaceful environment. We thus respectfully request that you be cognizant of other campers, guests, and visitors when you are gathering with friends, especially around the campfire. Please note that loud noises, including loud music, gatherings, and other loud or disruptive activities, are prohibited between the hours of 10:00 p.m. and 7:00a.m. We reserve the right to remove you from the Property if you fail to comply with our noise policy after having been given a warning by us following any noise complaint. Remember, Camp DeForest is located in a residential neighborhood. Please be considerate of our neighbors and keep noise levels down.
Room Policies.
Do-Not Disturb & Access to Rooms
Generally, we will honor your request for privacy; however, we reserve the right to enter guestrooms for safety, security, and maintenance. To provide all of our guests with an exceptionally clean and safe hotel experience, we provide housekeeping. The housekeeping staff is required to enter rooms to clean, check for safety, and verify the condition of the room.
Management reserves the right to enter a room with a known status of “Do Not Disturb” for reasonable purposes, such as, but not limited to, an emergency, housekeeping, or maintenance, and to verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our policies / camp rules. In the event of suspected illegal activity, management reserves the right to call the police to aid in eviction.
Housekeeping & Room Inspections
Housekeeping is provided daily between the hours of 9 AM to 4 PM. Rooms may be cleaned and inspected daily, and a detailed log is maintained on each room including the linen.
Housekeeping and the Front Desk team are skilled in identifying the odours from prohibited items. If our investigation concludes that you have smoked or vaped in your room, cooked, or brought a prohibited item into Camp DeForest, applicable fees will be assessed and charged, and you may be evicted without refund.
No-Shoes
We ask that you do not wear your shoes inside your room. Please ensure all of your visitors abide by this rule as well. This will ensure less wear and tear on our floors and carpets and keep Camp maximally clean!
Candle, Incense Essential Oils
Candle, incense, and essential oils (diffusing, vaporizing, etc.) are prohibited. These items and activities will be treated as smoking, a fine assessed, and the guest may be evicted with no refund. The fine is currently at $200 per offence.
Cooking, Cooking Appliances, Combustibles, or Fireworks
The safety of our guests, staff, and our facilities is extremely important to us. Preparation of food in guest rooms by any type of cooking appliances is prohibited.
A minimum fee of $300 will be charged for cooking in a room, including, but not limited to coffee makers, hot plates, toaster ovens, water heaters, rice cookers, combustible, open flame, barbecue grills, burners, heating appliances, or any other item intended for cooking. Open fires, flames or cooking grills, either charcoal or gas, and fireworks are not allowed anywhere on Camp DeForest property, with the exception of the Camp DeForest managed fire pits during specific firepit hours.
Linen Changing & Towels
Your comfort is very important to us. For guests staying multiple nights, bed linen may be changed every third day upon guest request but only if the bed is clear of all personal items and our housekeepers can access the walkways around the bed.
Housekeeping will be happy to change your bed linen more often, please ask the Front Desk for this service (subject to an additional fee). We hope our guests will assist us in decreasing our environmental impact and water use by reusing towels as much as possible, however, if new towels are needed, please leave your used towels on the floor of your room and we will replace them.
We have provided black make-up towels for your use, please use them as needed and do not white towels for makeup etc.

Maximum Room Occupancy
Room occupancy is based on local fire codes and safety regulations. If you exceed the maximum number of guests allowed in your room, you will be asked to rent another guestroom to accommodate the additional guest/s or to vacate camp. Room rates are listed for single / double occupancy. Only two guests per room, unless otherwise stated in writing. No exceptions.
No Parties
Camp DeForest enforces a No In-Room Party Policy. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise.
If our request is not followed, the guest will be asked to leave without refund. Registered guest(s) are responsible for all persons visiting. Non-Registered visitors are only permitted until 10 p.m. with the exception of those attending a private function at Camp DeForest.
Visitors
No visitors after 10 p.m. unless attending a private function at Camp DeForest. Visitors must notify the Front Desk when they arrive. Visitors must be accompanied by the registered guest at all times. As a registered guest, you are responsible for your visitor at all times.
Air Conditioning
The in room air conditioning (“AC”) should not be set below 71 degrees in “Cool” mode. Please turn off the AC when you leave your room during the summer. During the winter months, the heat should not be turned below 55 degrees or above 70 degrees at any time.
Furniture and Decor
Please return all accessories and decor to their rightful places at the end of your stay. Please do not rearrange our furniture. You must at all times comply with the provisions of our Damage Policy (below).
Extra Amenities.
Pack ‘N Plays
Subject to availability, Pack ‘N Plays are available for your use for any babies staying with you for an additional charge of $50 for your stay. Please contact us in advance to request a Pack ‘N Play, and we will do our best to accommodate you. You are solely liable for your use of a Pack ‘N Play provided by us.
Additional Bedding
A limited number of rollaway beds are available upon request subject to availability. The charge is $25 each per day. Maximum capacity of rollaway beds is one (1) per room. Please note that not all rooms can accommodate an extra bed.
Irons & Ironing Boards
You may request an iron and ironing board be brought to your room subject to availability. Camp DeForest does not assume responsibility for any damage to garments resulting from the use of these items. Use at your own risk. Guests are kindly reminded to turn off and unplug the iron after each use and any time they leave the room, both for safety and peace of mind.
Safety.
Valuables
Do not leave any valuables in your room or inside parked vehicles. Please note: Under state law, the hotel is responsible for loss only when articles are stored in safe-deposit boxes, which are subject to availability.
Admittance
Never admit repair people or strangers into your room without checking with management. Never admit persons with unsolicited deliveries.
Disclosure
When in the presence of strangers, do not reveal the name of your hotel, your room number or your plans for being away from the hotel.
Unattended Luggage
For your safety and the security of your belongings, please do not leave luggage or personal items unattended at any time, in any area of Camp DeForest. The Camp is not responsible for any loss, theft, or damage to unattended luggage or valuables. We recommend keeping your belongings with you or securely stored at all times.
Room Key
Safeguard your room key as you would your residence key. If you lose your key or if it is stolen, report it to the Lodge immediately. Do not leave your key in your room. Room keys are issued only to the registered guest(s). No room keys will be issued to anyone under 18. A valid photo ID (passport or driver’s licence) is required if you have lost your key and need a duplicate. Return your key to the Front Desk or deposit it in the Keys Checkout box when checking out. Failure to do so will result in a penalty of $50 for each unreturned key.
Room Doors and Windows
Your room door is equipped with a double locking safety latch. Lock your door from the inside while occupying your room. For additional security, use the safety latch. Be sure your guestroom door is locked, and lock your windows before retiring or leaving your room.
Flushing
As in most of Maine, Camp DeForest is on a septic system. Do not flush anything other than toilet paper in the toilet. Feminine products, wet wipes, paper towels, must all be disposed of in the garbage. Failure to abide by this rule may result in a surcharge.
Water.
Camp DeForest uses well water, which is regulated by the State of Maine. While we do our best to ensure water quality, it is provided as-is and may not meet all drinking water standards. Guests who choose to drink it do so at their own discretion.
Fire Safety
Camp DeForest is fully equipped with smoke detectors and fire alarms. If the alarm sounds, evacuate your room immediately.
In Case of Emergency
Please notify the Front Desk in the event of a fire or other emergency and dial 911. If you are in need of medical assistance, the nearest emergency room is at the MaineHealth Waldo Hospital located at 118 Northport Avenue, Belfast, Maine.
On-Site Signage.
Guests are expected to comply with all posted signs and written instructions throughout the Property. Signage is considered part of this Policy and is enforceable as such.
Enforcement.
All staff are required to respond to potential violations of Camp DeForest’s policies / camp rules and when necessary are required to call the police. Guests who refuse to abide by Camp DeForest’s reasonable standards and policies will be evicted with no refund.
Allergy & Food Disclaimer.
Camp DeForest may, from time to time, offer food, drinks, snacks, refreshments, or provisions (e.g., s’mores kits, welcome treats, or local goods in the Camp Store). Guests should be aware that these items may contain or be prepared near allergens including, but not limited to: peanuts, tree nuts, dairy, eggs, wheat, soy, shellfish, and gluten. We do not operate an allergen-free facility and cannot guarantee the absence of cross-contamination. Guests with food allergies, sensitivities, or special dietary requirements are solely responsible for reviewing product information and determining whether consumption is safe for them. Please reach out to our team if you have any concerns or require assistance identifying ingredients.
Lost & Found and Valuables.
We are not responsible for the safety of any valuables left in your room, cabin, or in commons areas. We are not responsible for any items left behind by our guests, and we assume no liability for lost, misplaced, stolen, or damaged valuables or other belongings.
Any items left unattended in public or common areas (e.g., firepits, reception lounge) may be removed and stored by staff for up to 24 hours, after which they may be discarded.
If you discover that you have left behind any belongings, please call us at 207-789-5777 or e-mail us at hello@campdeforest.com so that we can try to assist you in locating your lost belongings.
While we are not responsible for items left behind by guests, any item (other than perishable items) that are left behind and found in a room or cabin after departure by our housekeeping staff will be collected, logged in, and kept in a secure location for retrieval by the owner for up to thirty (30) days. We will make reasonable efforts to locate and notify the guest who left behind the item. Perishable items, underwear, and miscellaneous toiletries will be discarded.
Evacuation Procedures.
Each room features a door and one or more emergency egress windows. The Lodge has lighted ‘Exit’ signs that identify exit doors. Please let us know if you have any questions.
Seasonal Hazards & Natural Conditions.
Camp DeForest is nestled in the natural beauty of Midcoast Maine, which means nature plays a starring role in your experience with us—sometimes unpredictably. Guests should be prepared for variable weather and terrain conditions throughout the year.
During fall, winter and spring, icy or snowy conditions may exist on stairs, walkways, decks, and parking areas. While we make every reasonable effort to clear and treat paths and outdoor surfaces, we cannot guarantee that all areas will be free of ice or slip hazards at all times. Guests accept full responsibility for their own safety and assume the risk of personal injury, including slips, trips, or falls, while moving about the Property. Appropriate footwear and caution are strongly encouraged.
In warmer months, wildlife—including deer, foxes, raccoons, and skunks—may occasionally be seen on or near the Property. Do not feed or approach wild animals, and securely store all food and trash.
Insects, ticks, and pollen are common in this region—please bring any medications, repellents, or gear you may need for your comfort and protection.
By choosing to stay at Camp DeForest, you acknowledge and accept the inherent risks of a natural setting and agree that Camp DeForest assumes no liability for injuries, allergic reactions, or damages arising from weather, wildlife, natural terrain, or environmental conditions.
We recommend you check the local forecast and come ready to embrace (and respect) the elements—whether it’s a misty morning, a snow squall, or a starlit summer night.
Parking.
All vehicles are parked at the risk of the owner. We do not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the Property. While we have space along the front of the Property, at the south end of the Property, and behind the resort rooms, we do not monitor parking areas. Thus, we urge you not to leave valuables in your vehicle. If you have difficulty finding a parking space, please contact the Front Desk. Handicap parking is available adjacent to Room One. Electric vehicle parking is available in the Spruce/Pine parking area, and Maple and Birch cabins have dedicated parking spots. The electric vehicle charger is provided as a courtesy and used at your own risk. Camp DeForest assumes no liability for damage or loss related to electric vehicle charger use or charging.
Right to Refuse Service, Evict, Etc.
We reserve the right to refuse service to anyone for any reason that does not violate federal or state laws. Note that we will not tolerate your refusal or other failure to abide by this Policy or any other standards, policies, rules, regulations, or laws established by the State of Maine and/or by us in connection with the operation and management of the Property.
Camp DeForest is privately owned and operated. We reserve the right: (i) to refuse to admit someone on our Property, (ii) to refuse to extend service or accommodation to anyone on our Property, (iii) to refuse to sell or provide any product or service, or (iii) to remove a person from our Property.
Additionally, we will refuse service or evict a guest or visitor: (i) for refusal or failure to pay for accommodations; (ii) if the guest or visitor is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or visitors or is not in compliance with state liquor laws; (iii) if the guest or visitor acts in a disorderly fashion as to disturb the peace of other guests; (iv) if the guest or visitor is unable to properly supervise their children at all times; (v) if the guest or visitor seeks to use any part of the Property for an unlawful purpose; (vi) if the guest or visitor seeks to bring onto the Property an unlawfully possessed firearm or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; (vii) if the guest or visitor destroys, damages, defaces, or threatens harm to our Property or our guests or visitors; (viii) if the guest or visitor causes or permits other persons to exceed the maximum allowable occupancy of a room; or (ix) if the guest or visitor refuses or otherwise fails to abide by the rules, standards, or policies established by us for the operation and management of our Property (including, without limitation, any of the policies set forth in this Policy)
We reserve the right to refuse service or remove any guest who exhibits aggressive, abusive, discriminatory, or disruptive behavior toward staff or fellow guests.
Criminal Activity.
All criminal activity, including but not limited to the possession or use of illegal drugs at Camp DeForest is strictly prohibited, and such criminal activity shall cause occupancy to be terminated. In case of such termination, without limiting any other right or remedy, Camp DeForest shall retain such sums as have been paid by guest(s). If guests are suspected of carrying and/or using illegal drugs of any kind, the authorities will be contacted, and GUESTS WILL BE REQUIRED TO VACATE THE PROPERTY IMMEDIATELY.
Damage Policy
You are liable for any damage caused (whether by deliberate, negligent, or reckless act) to the room(s), hotel’s premises or property caused by you or any person in your party whether or not they are staying at the hotel or visiting you during your stay.
Camp DeForest reserves the right to retain your credit card and/or debit card details, or to use your security deposit taken at check in to charge the amount deemed necessary to compensate or make good the costs incurred by Camp DeForest as a result of the above.
Should this damage come to light after you’ve left, we reserve the right, and you hereby authorise us, to charge your credit or debit card for any damage incurred to your room including property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.
We will make every effort to rectify any damage internally prior to contracting a specialist to make the repairs, and therefore will make every effort to keep any costs that the guest incurs to a minimum.
Damage Discovered after Checkout
Guest rooms found with waste scattered around, in complete disorder, and/or “trashed” will be subject to a minimum $200 maintenance, deep cleaning fee, administration fee and/or third-party fees.
Damage to Room
Damage to rooms, fixtures, furnishing, decor, and equipment including the removal of electronic equipment, towels, artwork, decoration etc. will result in a minimum fine of $200 plus 150% of full and new replacement value plus any shipping and handling charges and tax, unless otherwise specified on the in-room price list. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each particular room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.
Damage to Mattresses, Bedding & Linens
Damage to mattresses, bedding, and linens, including towels, robes mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, urination, defecation, make-up, shoe-polish, etc. will result in a minimum fine of $200 plus, 150% of full and new replacement value, plus any shipping and handling charges and tax, for the special cleaning, repair or replacement of the damaged article.
Damage or Tampering with Fire Detection Systems / Fire-Fighting Equipment
Camp DeForest reserves the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points and fire extinguishers.
Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by Camp DeForest due to their actions and will be evicted from the hotel.
Depending on the severity of the guests’ actions, the police may become involved at our discretion.
Should the fact that fire-fighting or detection equipment had been tampered with come to light after you have departed, we reserve the right and you hereby authorise us to charge your credit or debit card for the above. The minimum standard fine of $200 is applied but this can increase upon evaluating the seriousness of the incident/situation.
Camp Store Purchases.
Camp DeForest offers a curated selection of items for sale through the Camp Store, including provisions, sundries, apparel, books, and locally made goods. Items may be available for purchase at the Lodge, through the Front Desk, or via our online store at https://store.campdeforest.com
Pricing & Payment
All prices are listed in U.S. dollars and are subject to change without notice. Applicable taxes will be added at the point of sale. Purchases may be made using cash, credit/debit card, or authorized digital payment methods (e.g., Apple Pay, Google Pay). Upon request, Camp Store purchases may be charged to your room account and settled at check-out.
Final Sale Policy
All items sold through the Camp Store are considered final sale. Due to the nature of many of our goods (including perishables, toiletries, and personal-use items), we are unable to accept returns or offer refunds, except in the case of a damaged or defective item.
Lost or Forgotten Items
If you forgot to purchase something during your stay or left an item behind that is available in the Camp Store, we are happy to assist with mail-order fulfillment when possible. Shipping and handling fees will apply. Please email hello@campdeforest.com for assistance.
Room Inventory & Store Charges
Certain items found in your room (such as robes, toiletries, and branded merchandise) may be available for purchase. If these items are removed from the room during your stay, the associated charges will be added to your bill in accordance with the pricing posted in-room or listed at the Camp Store.
Listing Photographs.
Furnishings, amenities and decor are subject to substitution or change without notice. Photos of the Property may not exactly represent recently made changes.
Photography & Videography.
By entering Camp DeForest, you acknowledge and agree that photography and video recording may take place in common areas of the Property for marketing, archival, or promotional purposes. You further grant Camp DeForest, LLC and its affiliates a perpetual, irrevocable, worldwide, royalty-free license to use, reproduce, display, distribute, and create derivative works from any image, likeness, voice, or appearance of you that may be captured incidentally during your stay, whether in photo, video, or audio format. This license includes the right to use such materials in print, digital, broadcast, or social media formats, including but not limited to advertising, publicity, and promotional materials. If you do not wish to appear in any such media, please notify the Front Desk in writing upon check-in, and we will make reasonable efforts to accommodate your request.
Drone Use.
To preserve the peace, privacy, and safety of all guests, drones and unmanned aerial vehicles (UAVs) are not permitted to be launched, flown, or landed anywhere on Camp DeForest property without the express written consent of management. This includes all recreational, commercial, and personal drone use—even if you are a registered pilot. Violators may be asked to leave the Property and may be held responsible for any damages or privacy violations that result. If you wish to inquire about drone permission for approved commercial or media purposes, please contact us in writing prior to your arrival. No drone use will be approved on-site without prior authorization.
Security Cameras.
For the safety and security of our guests, staff, and Property, Camp DeForest utilizes 24/7 video surveillance in certain public and common areas, including entrances, walkways, parking areas, and reception. These cameras are used for monitoring and incident investigation only and are not actively monitored at all times. By entering and remaining on the Property, you acknowledge and consent to video recording in these areas. No cameras are installed in private guest rooms, cabins, or bathrooms. Recorded footage is stored securely and retained for a limited period, after which it is automatically deleted unless required for a legitimate safety, legal, or operational purpose.
Neighborhood.
Like your home, Camp DeForest is located in a town where there are at times neighbors completing construction or causing noise or other disturbances, town street work, or temporary service or utility interruptions for upgrades, outage, or repairs by the utility and other provider companies. While we have no control over such circumstances and other disturbances, we do our best to ensure that guests are informed during planned work or outage events which we become aware of in advance. However we do not treat any such disturbances or outages as refundable events.
Indemnification.
Guest hereby indemnifies and holds Camp DeForest harmless from and against any liability, damage, expense, judgment, claim or other loss, including reasonable attorney’s fees, arising from guest's default, or use and occupancy of the Property. Guest shall be responsible for any of guest’s, (or guests’ or invitees’) safety and possessions at the Property.
Release.
Guest hereby waives and releases any claims against Camp DeForest, its owner(s) and their insurers, successors, assigns, employees or representatives, officially or otherwise, for any injuries or death that may be sustained by guests on or near or adjacent to the Property, including any common facilities, activities or amenities. Guest agrees to use any such facilities or amenities entirely at the guest’s own initiative, risk and responsibility. By electronically accepting this agreement, guest agrees to abide by the above conditions and hereby swear the information provided upon booking is true. Guest agrees to the terms of this Policy, the Terms of Service,the Privacy Policy, and the Acceptable Use Policy.
Waiver.
Guest expressly agrees and contracts, on behalf of guest, their heirs, executors, administrators, successors and assigns, that Camp DeForest and its insurers, employees, officers, directors, and associates, shall not be liable for any damages arising from personal injuries (including death) sustained by guest, or guest’s visitor(s) in, on, or about the Property, or as a result of the use of the equipment or facilities, regardless of whether such injuries result, in whole or in part, from the negligence of Camp DeForest. Guest accepts and assumes full responsibility for any and all injuries, damages (both economic and non-economic), and losses of any type, which may occur to guest or guest’s visitor(s), and does hereby fully and forever release and discharge Camp DeForest, its insurers, employees, officers, directors, and associates, from any and all claims, demands, damages, rights of action, or causes of action, present or future, whether the same be known or unknown, anticipated, or unanticipated, resulting from or arising out the use of said equipment and facilities. Guest expressly agrees to indemnify and hold Camp DeForest harmless against any and all claims, demands, damages, rights of action, or causes of action, of any person or entity, that may arise from injuries or damages sustained by guest or guest’s visitor(s). Guest agrees to be solely responsible for the safety and wellbeing of guest and guest’s visitor(s). Guest understands that Camp DeForest does not provide supervision, instruction, or assistance for the use of the facilities and equipment. Guest agrees to comply with all rules imposed by the Camp DeForest regarding the use of the facilities and equipment. Guest agrees to always conduct themselves in a controlled and reasonable manner, and to refrain from using any equipment in a manner inconsistent with its intended design and purpose. Guest understands and acknowledges that the use of sporting equipment involves risk of serious injury, including permanent disability and death. Guest understands and agrees that Camp DeForest is not responsible for property that is lost, stolen, or damaged while in, on, or about the Property. Guest understands and agrees that their use of the facilities and equipment is only to be undertaken on guest’s own personal time, and that guest’s use of the facilities and equipment is not within the course or scope of any employment.
Physical Activities & Medical Risk Acknowledgment.
By staying at Camp DeForest, guests acknowledge and accept that participation in any physical, outdoor, or recreational activity offered or occurring on or near the Property may involve risk of personal injury. Guests are solely responsible for determining their own physical ability and health limitations. In the event of a medical emergency, Camp DeForest staff will call emergency services, but Camp DeForest assumes no responsibility for treatment or outcomes.
Third Party Vendors & Service Providers.
Camp DeForest may refer or connect guests with third-party vendors or service providers. We are not responsible for the quality, performance, or outcomes of services provided by third parties, and your participation or engagement with any such services is at your own risk.
Conflict.
In the event of a conflict between provisions herein and the terms of service governing any third party booking agent you might have used to reserve your stay, the terms and conditions herein shall prevail to the extent of such conflict.
Force Majeure.
Camp DeForest shall not be held liable for any failure or delay in performance, or for any inconvenience, loss, or damage suffered by guests due to circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, government restrictions, labor disputes, supply chain interruptions, power outages, or pandemics. In such cases, refunds or rescheduling will be handled at our sole discretion.
Changes to this Policy.
We may revise this Policy at any time by amending this document. You are expected to check this document from time to time to take notice of any changes we make, as they are legally binding on you. Any modification to this Policy that occurs before your departure is considered a part of your agreement with us. Be mindful of the “Last Updated” date; it will advise of the date on which this Policy was last revised.
