These Spa & Wellness Terms and Policies (the “Spa & Wellness Policies”) apply to in-room massage, complimentary yoga kits, and any other spa or wellness service, amenity, equipment, or program offered or arranged by Camp DeForest (collectively, “Spa & Wellness Services”).
By requesting, booking, purchasing, receiving, or using a Spa & Wellness Service, you agree to these Spa & Wellness Policies and to Camp DeForest’s Reservations Policies and Camp Rules, Terms of Use, and Privacy Policy, each of which is incorporated here by reference.
1. Eligibility and Availability
Spa & Wellness Services are currently available only to registered Camp DeForest guests age 18 or older, unless Camp DeForest expressly states otherwise in writing.
All services, equipment, providers, techniques, appointment times, and locations are subject to availability, suitability, and change. Specific therapists or treatment techniques are not guaranteed. Room layout, accessibility, safety requirements, provider availability, or other operational considerations may limit whether a service can be offered in a particular room or cabin.
Camp DeForest may decline, modify, relocate, postpone, or discontinue a Spa & Wellness Service when reasonably necessary for professional, health, safety, accessibility, weather, staffing, operational, or property-related reasons.
2. Massage Requests and Appointment Confirmation
Advance booking of at least 48 hours is recommended. Submitting a request does not reserve an appointment. A massage appointment is confirmed only when Camp DeForest sends written confirmation.
Before confirmation, Camp DeForest may verify the guest’s identity and stay, room suitability, requested service, payment arrangements, and therapist availability. If a requested therapist, time, technique, or treatment is unavailable, Camp DeForest may offer an alternative. No substitute becomes binding unless accepted by the guest or other authorized booking party.
The therapist may arrive approximately 15 minutes before the confirmed treatment time to enter the assigned room or cabin, set up equipment, and complete a private consultation. The guest must be present, appropriately prepared, and available to admit the therapist at that time.
3. Cancellations, Changes, and Missed Appointments
At least 24 hours’ notice is required to cancel or reschedule a massage appointment. The full treatment price may be charged when:
an appointment is cancelled or rescheduled within 24 hours of the confirmed start time;
the guest is absent or unavailable at the confirmed time;
the guest has not completed the required health intake, informed consent, or waiver;
the guest appears impaired by alcohol, cannabis, controlled substances, or other drugs in a manner that may affect judgment, sensation, safety, or ability to consent;
the room cannot be safely accessed or used because of a condition within the guest’s control; or
the therapist ends or declines the session because of sexual, threatening, discriminatory, abusive, harassing, or otherwise inappropriate conduct.
If Camp DeForest or the therapist must cancel an appointment, the guest and any third-party purchaser will not be charged for the cancelled service, and any amount already collected will be refunded to the original payment method. Camp DeForest is not responsible for incidental costs or other losses resulting from the cancellation or unavailability of a Spa & Wellness Service, except where applicable law requires otherwise.
4. Late Arrival and Treatment Time
Late arrival may shorten the treatment so that the therapist can honor later appointments. The treatment will end at the originally scheduled time, and the full confirmed price will still apply. Setup, consultation, dressing, and undressing time may occur outside or within the reserved appointment period as disclosed in the booking confirmation or by the therapist.
5. Payment, Room Charges, and Gratuity
The confirmed treatment price and any applicable cancellation or missed-appointment charge may be charged to the guest’s room or to the payment method authorized during booking. Charges to a room remain subject to the registered guest’s authorization and Camp DeForest’s lodging and payment policies.
Gratuity is not included unless expressly stated. Gratuity is optional and entirely at the guest’s discretion. No additional treatment, upgrade, or gratuity may be charged to a third-party purchaser without that purchaser’s express authorization.
6. Health Information, Professional Assessment, and Consent
Massage is offered for relaxation and general wellness. It is not medical care, does not diagnose or prescribe for any condition, and is not a substitute for examination, diagnosis, treatment, or advice from a physician or other qualified healthcare professional.
Massage may not be appropriate for every person or health condition. Before treatment, the recipient must personally:
provide complete and accurate information requested by the therapist;
disclose relevant health conditions, injuries, medications, allergies, sensitivities, pregnancy, recent procedures, or other circumstances that may affect treatment;
complete any health screening or intake required by the therapist;
sign the applicable informed-consent and waiver form; and
follow the therapist’s reasonable professional and safety instructions.
The recipient is responsible for consulting a qualified healthcare professional when appropriate. The therapist may modify, postpone, or decline a treatment when the therapist determines that the requested service may be contraindicated, inappropriate, or unsafe. The therapist may request clearance from a healthcare provider where professionally appropriate.
The recipient may decline any technique or treatment area and may pause or end the massage at any time. The therapist may likewise modify or end the session at any time for professional, health, consent, conduct, or safety reasons.
7. In-Room Access, Privacy, Draping, and Conduct
By confirming an in-room appointment, the recipient authorizes the confirmed therapist to enter the assigned room or cabin at the scheduled time for consultation, setup, treatment, and removal of equipment. The recipient must be present; therapists will not make unannounced visits or enter an unoccupied guest room to await the recipient.
The therapist will provide privacy for dressing and undressing and will use professional draping. Only the area being treated will be uncovered. Massage is strictly nonsexual.
Sexual requests, intentional exposure, harassment, threats, discriminatory abuse, intimidation, or other inappropriate conduct are prohibited. The therapist may immediately end the appointment and leave the room. The full treatment price may be charged, and Camp DeForest may take additional action under its Reservations Policies and Camp Rules, including requiring a guest to leave the property when warranted.
8. Massage Providers
Massage services are performed by independent massage therapists holding current Maine licensure. Camp DeForest facilitates booking, payment, and access to the property. The individual therapist is responsible for professional assessment, informed consent, treatment selection and technique, draping, sanitation, professional boundaries, and clinical records relating to the treatment.
Services and techniques may vary by therapist. No particular outcome or result is promised or guaranteed.
9. Bookings and Payments for Another Guest
This section applies when one person (the “Purchaser”) requests, reserves, or pays for a massage for another person (the “Recipient”).
Recipient Knowledge and Confirmation
The Purchaser represents that the Recipient:
knows about the proposed in-room appointment;
has agreed to be contacted about it;
is a registered Camp DeForest guest age 18 or older; and
will be available to confirm or decline the appointment personally.
Camp DeForest does not permit completely unannounced or “surprise” therapist visits to a guest room. A third-party request becomes a confirmed appointment only after Camp DeForest verifies the Recipient, stay, room suitability, payment arrangements, and therapist availability and issues written confirmation.
Recipient’s Personal Consent
The Purchaser may select and pay for a service but cannot provide medical information, informed consent, an assumption of risk, or a release on the Recipient’s behalf. Before treatment, the Recipient must personally confirm that the Recipient wishes to proceed, complete the therapist’s health screening or intake, and sign the applicable consent and waiver.
The Recipient may decline or stop treatment at any time. A refusal or cancellation made within 24 hours of the confirmed appointment remains subject to Section 3 unless Camp DeForest or the therapist agrees otherwise.
Purchaser’s Payment Authorization
The Purchaser authorizes Camp DeForest to charge the quoted treatment price and any disclosed cancellation or missed-appointment charge to the payment method provided by the Purchaser. No additional treatment, upgrade, or gratuity may be charged to the Purchaser without express authorization.
The Purchaser is responsible for ensuring that the Recipient receives the appointment information and these Spa & Wellness Policies. The Recipient remains independently bound by the provisions relating to health disclosure, consent, access, conduct, and use of the service.
10. Privacy and Records
A Purchaser should not submit a Recipient’s medical history or other detailed health information. Health screening, intake, and treatment information should be provided privately by the Recipient to the therapist.
Camp DeForest may share the minimum information reasonably necessary to coordinate the appointment, verify the guest and room, arrange property access, process payment, address an incident, or comply with law. The therapist may maintain health intake and clinical treatment records according to the therapist’s professional practice, insurance requirements, and applicable law.
Camp DeForest may retain booking details, payment authorizations and records, signed Camp DeForest consent or release documents, service-status information, and incident records. Detailed health intake and clinical notes ordinarily should be retained by the therapist rather than included in Camp DeForest’s lodging records.
A Purchaser may be told whether a charge was incurred, cancelled, or refunded but is not entitled to the Recipient’s health information, consultation details, treatment information, or reason for modifying or ending a session, except with the Recipient’s authorization or as required by law.
Personal information is otherwise handled according to Camp DeForest’s Privacy Policy and any privacy notice provided by the therapist.
11. Complimentary Yoga Kits and Wellness Equipment
Complimentary yoga kits and other wellness equipment are offered to registered guests subject to availability. Guests should contact the Front Desk to request a kit and follow any checkout, use, cleaning, and return instructions provided by Camp DeForest.
Yoga and self-directed exercise involve physical exertion and may not be suitable for every person. Guests are responsible for selecting movements appropriate to their condition and ability, using the equipment only for its intended purpose, maintaining a safe and unobstructed exercise area, and stopping immediately if they experience pain, dizziness, shortness of breath, instability, or other concerning symptoms. Guests should consult a qualified healthcare professional before beginning physical activity when appropriate.
Yoga kits are provided as equipment only. Unless Camp DeForest expressly states otherwise in writing, the provision of a kit does not include instruction, supervision, medical advice, or any representation that a particular activity is suitable for the guest.
Guests should inspect equipment before use and notify the Front Desk promptly of damage, contamination, missing components, or unsafe conditions. Damaged or questionable equipment should not be used. Kits must be returned at the time and place directed by the Front Desk. Guests may be charged for equipment that is lost, not returned, or damaged beyond ordinary wear, consistent with Camp DeForest’s lodging policies and applicable law.
12. Accessibility and Accommodation Requests
Camp DeForest welcomes reasonable requests relating to mobility, positioning, communication, allergies, or other accessibility needs. Guests should contact Camp DeForest as early as practicable so that the request can be considered with the therapist and in light of the room, equipment, and service involved.
Camp DeForest does not require guests to disclose more medical information than is reasonably necessary to evaluate or provide a requested accommodation. Accommodation requests are handled in accordance with Camp DeForest’s Accessibility page and applicable law.
13. Relationship to Other Camp DeForest Terms
These Spa & Wellness Policies supplement Camp DeForest’s Reservations Policies and Camp Rules, Terms of Use, Privacy Policy, and any service-specific confirmation, consent, waiver, or provider notice presented in connection with a Spa & Wellness Service.
If these Spa & Wellness Policies conflict with another Camp DeForest policy concerning a Spa & Wellness Service, these Spa & Wellness Policies control only with respect to that service, except that the dispute-resolution, arbitration, limitation-of-liability, and other generally applicable provisions of Camp DeForest’s Terms of Use remain in effect. If a therapist’s professional consent, health, safety, or privacy requirement conflicts with a booking preference, the therapist’s applicable professional requirement controls the provision of treatment.
14. Changes to These Policies
Camp DeForest may update these Spa & Wellness Policies from time to time. Unless otherwise stated, changes become effective when posted. The version applicable to a confirmed massage appointment will ordinarily be the version supplied or made available with the booking confirmation, except where a change is required by law or is reasonably necessary to protect health or safety.
