Travel Advisor Familiarization Rate
Camp DeForest offers a Travel Advisor Familiarization Rate to give accredited travel advisors an opportunity to experience the property firsthand. Eligible advisors receive 20% off the Best Available Rate for one guest room for a stay of up to two consecutive nights.
The following terms apply:
Eligibility. The rate is available only to active, accredited travel advisors holding valid IATA/IATAN, ARC, CLIA, TIDS or comparable professional credentials acceptable to Camp DeForest.
Personal occupancy required. The eligible travel advisor must make the reservation, be named as the primary registered guest and personally occupy the room for the duration of the stay. The rate may not be booked for clients, colleagues, friends or family members when the eligible advisor will not be staying.
Credential verification. The advisor must provide their accreditation or agency information when requesting the reservation and present valid professional credentials and government-issued photo identification at check-in. If satisfactory credentials cannot be provided, Camp DeForest may reprice the reservation at the then-current public rate.
Discount. The discount is calculated against the Best Available Rate offered by Camp DeForest for the applicable room type and stay dates at the time the reservation is confirmed. Taxes, fees, packages, enhancements and incidental charges are not discounted unless expressly stated otherwise.
Stay limitations. The rate is limited to one room, one stay and a maximum of two consecutive nights per eligible travel advisor per calendar year. Back-to-back, consecutive or overlapping reservations may not be used to extend these limits.
Availability and blackout dates. The rate is capacity-controlled and subject to availability. It may not be available during peak periods, holidays, special-event weekends or other blackout dates determined by Camp DeForest. Availability of rooms at public rates does not guarantee availability of the Familiarization Rate.
No combination or commission. The Familiarization Rate is noncommissionable and may not be combined with any other discount, promotion, package, negotiated rate, gift certificate or special offer.
Reservation policies. All standard policies including deposit, payment, modification, cancellation, no-show, occupancy and property policies apply. A valid credit card must be presented at check-in and will be retained on file for incidental charges and damages.
Nontransferability. Eligibility for the rate is personal to the accredited advisor and may not be transferred, sold, assigned or otherwise extended to another person.
Requests. To request the Travel Advisor Familiarization Rate, advisors should contact the Camp DeForest Rangers at advisors@campdeforest.com. Submission of a request does not constitute confirmation; the rate applies only when expressly confirmed by Camp DeForest.
Camp DeForest reserves the right to verify eligibility, decline requests, correct reservations made using inaccurate information, and suspend or discontinue the Familiarization Rate at any time, subject to existing confirmed reservations.
Travel Advisor Commissions
Camp DeForest offers a 10% commission on eligible client stays booked by accredited travel advisors, subject to the following terms:
Eligible advisors. The booking advisor or agency must hold valid IATA/IATAN, ARC, CLIA, TIDS or comparable accreditation acceptable to Camp DeForest and must provide the applicable accreditation number and agency information.
Signed Agreement. An advisor must have a signed Agency Agreement with Camp DeForest in place before commissions can be earned. To request one, please email advisors@campdeforest.com.
Eligible reservations. To qualify, a reservation must be booked directly with Camp DeForest and identified as a travel-advisor booking at the time the reservation is made. Commission requests cannot be added retroactively after the reservation has been made, the guest has checked in or the guest has completed the stay.
Commissionable rates. Commission is payable only on rates expressly designated by Camp DeForest as commissionable. Unless otherwise agreed in writing, Familiarization Rates, complimentary stays, employee rates, wholesale rates, group or contracted rates, online travel agency bookings, and other specially discounted or promotional rates are noncommissionable.
Commission calculation. Commission is calculated at 10% of the room revenue actually collected by Camp DeForest for the completed stay. Taxes, mandatory or discretionary fees, food and beverage charges, spa or activity charges, packages, retail purchases, gratuities, enhancements, gift certificates and other incidental charges are not commissionable.
Completed stays required. No commission is earned on cancelled reservations, no-shows, complimentary nights, refunded amounts, chargebacks or amounts that Camp DeForest is unable to collect. If a stay is shortened, adjusted or partially refunded, commission will be calculated using the eligible room revenue ultimately retained by Camp DeForest.
Payment. Commission will ordinarily be processed within sixty (60) days after the guest has checked out and Camp DeForest has received full payment. The advisor or agency must provide any tax forms, invoices, banking details or other documentation reasonably required to process payment. Camp DeForest is not responsible for delays resulting from missing or inaccurate payment information.
One commission per reservation. Only one advisor or agency may receive commission for a reservation. The advisor’s name and agency must be associated with the reservation when it is booked. Commissions may not be divided or reassigned without Camp DeForest’s prior written approval.
Advisor’s own stays. An advisor may not receive a commission on their own Familiarization Rate reservation or on any other reservation for which they are a guest.
Guest policies. Client reservations remain subject to Camp DeForest’s standard policies including but not limited deposit, payment, cancellation, no-show and property policies. The travel advisor is responsible for accurately communicating applicable rates, restrictions and policies to the client.
Program administration. Camp DeForest reserves the right to verify credentials, determine whether a reservation or rate is commissionable, correct errors, reject duplicate or unsupported claims, and modify or discontinue its commission program. Any change will not affect a commission already earned on an eligible completed stay.
